Position Summary

This position will provide support to the Executive level.  The Executive Assistant position requires demonstrated poise, tact and diplomacy. The successful candidate must be highly motivated and understand the critical value of being trustworthy. He/she must be able to work in a dynamic, fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands. The ability to maintain confidentiality for those you support and the company as a whole is critical. The position requires flexibility and availability consistent with the needs of those you support.

Responsibilities

Required Competencies For This Role:

 

  • Proven capability in maintaining confidentiality, diplomacy and discretion in all dealings with individuals and staff.
  • Strong organizational skills, including experience in scheduling meetings and planning travel, prioritizing and coordinating schedules, and collaboration with other key staff on a broad range of tasks.
  • Excellent written and verbal communication skills.
  • Ability to work independently, multi-task, anticipate needs, and meet deadlines.
  • Highly-developed interpersonal skills with the capacity to cooperate and build constructive relationships at all levels of interaction, both internal and external.
  • Capable of consistently exhibiting professional, positive, diplomatic demeanor.

 

Key Accountabilities:

  • Be an absolute “Coordination Whiz”, scheduling and organizing complex activities such as meetings, travel requirements, and department activities for all members of the senior management team.
  • Schedule appointments and maintain calendars to ensure they are up to date and accurate.
  • Manage one or more schedules and workloads and ensure they are adequately prepared for meetings.
  • Schedule executive leadership meetings, handle logistics of meetings, send materials for review prior to the meetings, take and distribute notes and field general queries.
  • Review and manage inbound and outbound communications, including but not limited to mail, email, telephone, meetings, reports, newsletters, subscriptions, copying, filing, scanning, and routing for both business and at times personal matters.
  • Compose and type routine correspondence; file correspondence and other records.
  • Greet visitors, ascertain nature of business, and escort visitors to employer or appropriate person.
  • Arrange travel schedule and reservations.
  • Compile and type statistical reports.
  • Process and maintain expenses.
  • Work with Executive Leadership on special projects when needed
  • Other duties may be assigned.

 

Qualifications


Job Requirements:

  • Bachelor’s degree, preferred.
  • 4+ years of professional experience.
  • 1-2 years of experience supporting C level suite. Must be able to demonstrate critical thinking skills to prioritize/leverage the Executive’s time, resources, information and communications in support of the business.
  • Ability to anticipate needs and proactively bring together appropriate people and resources to meet those needs.
  • Demonstrated initiative and ability to meet deadlines and multi-task in a fast-paced environment.
  • Excellent time management and organizational skills.
  • Exceptional knowledge and experience working with Microsoft Office including, Outlook, Excel, Word, PowerPoint and other Microsoft applications.
  • Proven ability to work independently and as a team member.
  • Ability to work on multiple assignments at once while maintaining deadlines.
